Deputy Clerk of Court - Grade 13

 

Position Details

Salary starting at $17.07/hour

Status: Non-Exempt (32 hours/week)

Department:  Municipal Court

  1. Description of Work
  • 1.1. General Statement of Duties: Provides clerical and customer service support for the day-to-day operations of the Clerk of Court’s office.
  • 1.2. Supervision Received: Works under the general supervision of the Clerk of Court.
  • 1.3. Supervision Exercised: None. 

 

  1. Major Duties
  • 2.1. Enter complaints/citations for all types of cases. (Ex: DUI, DUS, Traffic, Parking/Handicap Tickets)
  • 2.2. Process Payments.
  • 2.3. Issue Suspension Notices and Summons/Warrants for non-payments. 
  • 2.4. Assist in preparation of materials for each court session. Check defendants in for Court and assist with paperwork from Court. (e.g. set-up payment plan, and make copies)
  • 2.5. Answer the telephone and greet visitors at the window, and answers public complaints and questions of a less technical nature and directs other inquiries as appropriate. 
  • 2.6. Set-up hearings (e.g. initial appearances, pretrial conference, or court trials, etc.)
  • 2.7. Assist in preparation of all written material that pertains to transfer cases and to appealed cases that go to District Court.
  • 2.8. Prepares bank deposits and completes month-end balance records of all outstanding fines as well as all monies collected in the Clerk of Court’s absence.
  • 2.9. Assists with record retention/destruction.
  • 2.10. Performs other duties of a comparable level/type as required.

 

  1. Minimum Qualifications
  • 3.1. Education: High School Diploma or GED
  • 3.2. Experience: Five (5) years of general clerical, and accounting or bookkeeping experience including experience in a legal setting or any equivalent combination of education and experience. 
  • 3.3. Area of residence: Residency in Mandan or Morton County is helpful but not required. 

 

  1. Required Knowledge, Skills, and Abilities 
  • 4.1. Knowledge of court procedures and practices.
  • 4.2. Knowledge of modern office practices and procedures. 
  • 4.3. Knowledge of bookkeeping practices and procedures.
  • 4.4. Ability to perform complex clerical work.
  • 4.5. Ability to keep accurate records of court cases, fines, and bail money.
  • 4.6. Ability to make simple mathematical computations. Ability to communicate effectively verbally and in writing.
  • 4.7. Ability to establish and maintain effective working relationships with employees, other agencies, and the public.
  • 4.8. Ability to organize and schedule a court docket. 
  • 4.9. Skill in the operation of a computer and various software programs.  Skill in the operation of a calculator.
  • 4.10. Skill in the operation of a copier.
  • 4.11. Skill in communication, interpersonal skill as applied to interaction with co-workers, supervisor, general public, etc. sufficient to exchange or convey information and to provide and/or receive work direction.
