General Summary or Purpose

The Administrative Assistant provides a variety of administrative, secretarial, and support activities for the Office of Disciplinary Counsel.  Duties involve formatting and editing correspondence; memoranda; proposed findings, conclusions and recommendations; motions; notices of hearings; orders; and pleadings; ensuring that documents are accurate and in proper form; maintaining files; coordinating the scheduling of formal disciplinary hearings; answering department phones; maintaining department files and records; or other administrative support activities.

  • Formats and edits correspondence; memoranda; proposed findings, conclusions and recommendations; motions; notices of hearings; orders; pleadings; and briefs to the Supreme Court of North Dakota.
  • Answers department phones, greets visitors, screens telephone calls and correspondence, provides information as appropriate.  Opens and sorts office mail.  Responds to requests for information at the request of the Disciplinary Counsel.
  • Performs special projects and administrative functions as assigned.  Tracks department expenditures and budget levels.  Arranges conference calls, maintains general office files and databases, purchases office supplies, makes travel arrangements, prepares travel expense vouchers, notarizes documents, maintains and coordinates staff calendars.
  • Arranges for the scheduling of formal disciplinary proceedings.
  • Performs other duties of a comparable level or type.

Minimum Qualifications & Certification or Licensing Requirements

Requires a high school diploma and two years of secretarial experience in a court, law office or related job experience.

Knowledge Requirements:

  • Considerable knowledge of secretarial practices and procedures.
  • Considerable knowledge of legal terminology, business English, punctuation and grammar.
  • Considerable knowledge of office systems, procedures and equipment.
  • Considerable knowledge of word processing, database and internet software.
  • Basic knowledge of court rules, procedures and functions.
  • Basic knowledge of law and legal principles.

Skill Requirements:

  • Keyboarding skills.
  • Recordkeeping skills.
  • Skilled in the use of word processing and internet applications.
  • Elementary legal research skills.
  • Written communication skills.
  • Proofreading and editorial skills.
  • Interpersonal skills to deal effectively with all levels of personnel and the public.
