Job Announcement - Deputy Municipal Court Clerk Monday, May 8, 2023

Summary: Performs all clerical duties related to City of Williston courtroom operations inside and outside the court room assisting in the fair, timely, and accurate adjudication of municipal court cases.

Supervision Received: Clerk of Court, City Judge, Finance Director 

Supervision Exercised:  None

FLSA Status: Non-Exempt

Essential Job Functions:

  1. Answers telephone and greets visitors; provides information and assistance; takes messages; directs to appropriate personnel. 
  2. Enter Dispositions in real time in the Court Room.
  3. Receives and maintains all papers and records filed or deposited in the Clerk of Court Office; disposes of records in accordance with Supreme Court guidelines. 
  4. Prepares the court calendar in coordination with applicable attorneys and prepares court judgements; schedule and follow up referrals to court-related agencies.
  5. Enter dispositions of courtroom proceedings, findings, orders, and decisions into court database; enter citations into the Court database. 
  6. Issue processes notices as required. 
  7. Use due diligence and care in the posting of payments of fines, restitution and in preparation of court orders; receives and receipts funds; maintains related records. 
  8. Maintain confidentiality of court operations and records as required by law.
  9. Work collaboratively with Municipal Court team, Judges, City Attorneys, Police Department, and all agencies with a vested interest in the court.
  10. Be physically present in attendance at the worksite.  
  11. Perform all work duties and activities in accordance with City policies and procedures. 
  12. Perform other clerical and administrative duties as assigned.

Minimum Qualifications: Skill in routine computer operations. Ability to recognize, analyzes, and solves problems. Working knowledge of record keeping practices and procedures. Working knowledge of modern office practices and procedures and clerical duties. Ability to make mathematical computations rapidly and accurately. Skill in the use of office machines. Ability to communicate effectively, verbally and in writing. Ability to establish and maintain effective working relationships with employees, other agencies, and the general public.

Education: High school graduate or equivalent.

Experience: Two years of experience in clerical duties, and office machine operations or closely related field with one year of experience in court or legal experience. Must have basic experience of Microsoft Outlook and Word.

Necessary Special Requirements: Must be bondable.  Must pass FBI Criminal Background Check. 

Strongly Preferred: 35 Words per Minute

Equipment Used in Job Performance: Personal computer and printer, word processing and spreadsheet software, typewriter, telephone, copier, fax machine, calculator.

Physical Demands: While performing the duties of this job, the employee is frequently required to sit; talk or hear; use hands to finger, handle, feel or operate objects, and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.

*Must be able to work in high stress and fast paced environment, multitask in court room, and enter multiple real-time judgements during court sessions.

While performing the duties of this job, the employee regularly works indoors but sometimes travels within the city for reasons related to the job. The noise level in the work environment is moderate.
